Move clients between your agencies

The Bulk Client Move journey allows you to transfer client accounts between your existing Unique Agency Numbers (UANs). All account types can be moved except Fidelity Workplace Pension Scheme accounts. You can only move accounts between UANs that already exist—so if you require a new UAN, it must be created before starting the journey, as new UANs cannot be created within the process. Anyone in your firm with a consultant ID or username can use the Bulk Client Move journey; access is not limited to firm administrators

You have two options to move clients between your UANs:

  1. Full move - move all client accounts from one UAN to another UAN.
  2. Partial move - move selected or all client accounts from one UAN to another or move accounts across multiple UANs.

Before using the journey please be aware:

  • The suggested minimum number of accounts to move is around 10. If you’re looking to move fewer than that, the ‘Link a Client’ journey may be more suitable
  • If clients are not being moved to a different head UAN, adviser fees, DFM fees, and model portfolios will remain unchanged.
  • If clients are being moved to a different head UAN, please check after the instruction is completed that adviser fees, DFM fees, and model portfolios are still set up.
  • We won’t write to clients about the move.

Account Information report

When logged in under a head UAN, the Account Information report in Reporting Services shows the accounts associated with each sub‑UAN.

Partial move template

When instructing a partial move, you’ll need to upload a completed template which is available here.

Select the UAN the clients are being moved from and the UAN they are being moved to. Confirm whether the originating UAN should be closed once the clients have been moved. Select ‘Continue’.

On the next page, review the details entered, agree to the declaration, and select ‘Submit’.

An on‑screen confirmation will be displayed to show that the instruction has been successfully submitted. The bulk move will be completed within five business days, after which a report will be produced (refer to the ‘Completion report’ section below for more details).

For a partial move, you’ll need to upload a spreadsheet containing the client names, account numbers, the UAN the accounts are being moved from, and the UAN they are being moved to. We have a template available on this page as well as within the journey itself.

On the next page, review the details of the uploaded file (including the file name, size, and number of Excel rows), agree to the declaration, and select ‘Submit’.

An on‑screen confirmation will be displayed to show that the instruction has been successfully submitted. The bulk move will be completed within five business days, after which a report will be produced (refer to the ‘Completion report’ section below for more details).

Once your instruction has been submitted online, it will be completed within 5 business days. When the process is finished, we will provide you with a report showing all accounts that were successfully moved, as well as any accounts that could not be moved, including the reasons why. You will receive an email notification as soon as the report is ready to download. To access the report:

  • Log in to our website using the consultant ID or username associated with the UAN used to submit your instruction.
  • Select ‘Firm’ from the left-hand menu.
  • Choose ‘Reporting Services’.

The report will be titled “Bulk Client Move” and will include your IR number (Instruction Reference) and the date your instruction was submitted. The report will display details in a table similar to the example shown below, including client information, account numbers, adviser UANs for both ceding and receiving firms, and the outcome of each account move.

If in the completion report, under ‘Status of Account Request’, you may see ‘WORKITEM_CREATED’. This indicates that the account cannot be processed automatically and has been routed to our Operations team for manual review (i.e. there might be some form of restriction on the account that needs to be lifted). The account will be processed in due course; however, if the team is unable to move the account, they will contact you directly.

  • When instructing a full move, no you can only move accounts from one ceding UAN to one receiving UAN only.
  • If you are instructing a partial move, yes there are no restrictions—you can move accounts between multiple UANs within a single submission.

We’ll wait for all outstanding adviser fees to be paid before closing the UAN.
